Overview

The Office Assistant plays a vital role in ensuring the cleanliness, hygiene, and efficient day-to-day running of the office environment. This position involves carrying out various cleaning, dispatch, and support tasks that contribute to a safe, organized, and productive workplace. The responsibilities are not limited to the duties outlined below and may evolve as needed by the organization.

Key Responsibilities:

       i.          Regularly assess the overall cleanliness and hygiene conditions of the office premises and promptly report any existing or potential issues to the appropriate authority.

     ii.          Perform routine cleaning duties to maintain a neat and sanitary work environment, including but not limited to sweeping and mopping floors, cleaning windows, dusting surfaces, and emptying trash bins.

    iii.          Run errands to support daily administrative operations, such as delivering documents or purchasing office supplies.

   iv.          Undertake dispatch duties, including the collection and distribution of parcels, documents, and other items, as assigned.

     v.          Implement basic security measures, such as ensuring all doors are locked, windows are closed, and office spaces are secure, especially at the close of business.

   vi.          Observe and report any signs of damage, malfunction, or required repairs within the office to the Senior Admin/HR Manager for immediate attention.

  vii.          Maintain vigilance to prevent theft or loss of company property during office hours, ensuring items and equipment are secure at all times.

viii.          Carry out any additional tasks or responsibilities assigned by the Senior Admin/HR Manager to support the smooth running of the office.

Qualifications

       i.          Education: Minimum of a Senior High School Certificate (WASSCE/SSSCE) or equivalent. Additional vocational training in housekeeping, janitorial services, or office administration is an advantage.

     ii.          Experience: At least 1–2 years of relevant work experience in a similar role (office assistant, cleaner, or dispatch personnel), preferably in a corporate or professional office environment.
