Cocoasis Group is seeking a self-motivated, smart, qualified, detail-oriented, and results-driven individual for the position of Night Office Administrator. The successful candidate will play a crucial role in creating and maintaining an efficient, fun, and productive workplace. The ideal candidate must ensure the office is well-maintained, safe, and fully equipped at all times. This role is 100% onsite, and working hours may shift, but generally, shifts are 9 hours long. Your working hours will be from 9 pm – 7 am. The following are the responsibilities and qualifications for the position;
Responsibilities
i. Ensure the office is well-maintained, safe, and fully equipped at all times
ii. Manage office supplies, furniture, as well as equipment procurement and maintenance
iii. Coordinate office renovations or repairs as needed
iv. Recruit, train, and supervise admin staff
v. Handle HR-related matters such as onboarding, time tracking, and payroll coordination
vi. Organize company events, meetings, and conferences including logistics, catering, and scheduling.
vii. Assist in creating and maintaining organizational documents and records.
viii. Develop and manage the office budget, including expense tracking and cost-saving initiatives
ix. Extreme organizational abilities, scheduling, and managing a calendar alongside day-to-day activities.
x. Reminding upper management of important tasks and deadlines
xi. Negotiate contracts and agreements with vendors
xii. Paying strict attention to detail and taking detailed notes
Requirements
i. Proven 1 year of experience as an Office Manager or in a similar administrative role
ii. Able to possess extreme ownership by taking full responsibility for assigned tasks, projects, and outcomes.
iii. Be extremely trustworthy and respect confidentiality
iv. Strong organizational and leadership skills
v. Problem-solving skills and attention to detail
vi. Proficiency in Google Sheets, Google Docs, Google Mail, and Google Calendar
vii. Possess good grammatical skills and be a good communicator
viii. Ability to multitask and prioritize work efficiently
ix. A can-do attitude
x. Experience Level: Mid to Senior Level
xi. Education: Bachelor’s Degree preferred, but not necessary. Your degree is seriously worthless if you can't execute and learn on the job ;)
