Offin Security Services Limited is a professional and organized Administrative Assistant to manage the front office operations at our Takoradi office. The successful candidate will be the first point of contact for clients and visitors, ensuring a smooth and professional experience. The ideal candidate will manage the reception area, ensuring it is tidy, welcoming, and professional at all times. The following are the responsibilities and qualifications for the position;
Responsibilities
· Manage the reception area, ensuring it is tidy, welcoming, and professional at all times
· Receive and attend to visitors, clients, and walk-ins, directing them to the appropriate personnel
· Handle inquiries about the company's services in person, by phone, and via email
· Raise and process internal requests and forward them to the relevant departments
· Maintain a visitor log and manage appointment scheduling
· Handle incoming and outgoing correspondence (letters, emails, packages)
· Maintain and update office records and filing systems
· Assist with general administrative and clerical duties as assigned
· Support other departments with documentation and data entry tasks
Qualifications & Requirements
· HND or Diploma in Business Administration, Public Administration, Secretaryship, or a related field.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
· Strong verbal and written communication skills
· Professional appearance and pleasant demeanour
· Ability to multitask and work under pressure
· Good organizational and time management skills
· Prior experience in a similar role is an advantage
