The ideal candidate will play a crucial role in ensuring the smooth functioning of the office and providing support to the management team. The candidate will be responsible for handling various administrative tasks, coordinating office activities and maintaining effective communication within the organization. As follows are the responsibilities and qualification for the position;
Responsibilities
· The candidate will be at the front desk and responsible for all communications from prospective customers.
· The candidate will be the liaison between the office/CEO and the artisans, project supervisor and clients.
· The candidate must be skilful and turn prospective customers into customers/clients.
· The candidate will perform any assignments that will be given by the CEO
· The candidate will be responsible for handling and managing all incoming and outgoing correspondence, including emails, letters and phone calls
· The candidate will maintain and update the filling system, ensuring that all documents are properly organized and easily accessible
· The candidate will schedule and coordinate meetings, conferences and travel arrangements for the management team
· The candidate will be responsible for preparing and distributing meeting agendas, minutes and other necessary documents
· The candidate will be responsible for assisting in the preparation of reports, presentations and other business documents
· The candidate will be responsible for managing and maintaining office calendars, scheduling appointments and reminding employees of upcoming events or deadlines
· The candidate will be responsible for coordinating internal and external communications, including routing calls, taking messages and responding to inquiries
· The candidate will assist in the planning and execution of company events and employee engagement activities
· The candidate must collaborate with other administrative staff to ensure efficient office operations
Qualification
· HND/Bachelor’s Degree in Marketing or business with at least 1 year experience
· Excellent organizational and time management skills to effectively prioritize tasks and meet deadlines
· Strong attention to detail and accuracy in handling administrative duties
· Proficient in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
· Excellent written and verbal communication skills, including professional phone etiquette
· Ability to maintain confidentiality and handle sensitive information with discretion
· Strong interpersonal skills to work effectively with colleagues at all levels of the organization
· Ability to work independently with minimal supervision and also as part of a team
· Proficient in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
