Job Summary
A Secretary in a Travel and Tour agency is responsible for providing administrative support to ensure efficient operation of the office. This role supports managers and employees through a variety of tasks related to organization and communication, contributing to the overall success of the agency by ensuring tasks are completed accurately and delivered with high quality and in a timely manner.
Key Responsibilities:
Administrative Support:
· Manage daily office operations and maintain office supplies inventory.
· Schedule and coordinate meetings, appointments, and travel arrangements for managers and employees.
· Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
Customer Service:
· Handle customer inquiries and provide information about travel and tour services.
· Assist clients with travel and tour bookings, changes, and cancellations.
· Resolve customer complaints in a professional and courteous manner.
Documentation and Record Keeping:
· Maintain and update client files, ensuring all information is accurate and up-to-date.
· Handle confidential and sensitive information with discretion.
· Prepare and distribute daily, weekly, and monthly reports as required.
Communication:
· Act as the point of contact between executives, employees, clients, and external partners.
· Answer and direct phone calls, taking messages and forwarding calls as necessary.
· Handle incoming and outgoing mail, packages, and deliveries.
Coordination and Logistics:
· Coordinate travel arrangements for clients, including booking flights, hotels, and transportation.
· Assist in planning and organizing tours, ensuring all logistics are handled efficiently.
· Support the development of travel itineraries and tour packages.
Office Management:
· Maintain a clean and organized office environment.
· Monitor office expenses and handle basic bookkeeping tasks.
· Ensure all office equipment is properly maintained and serviced.
Qualifications:
· HND or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
· Proven administrative or secretarial experience.
· Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
· Excellent time management skills and the ability to prioritize work.
· Strong organizational skills with attention to detail.
· Excellent written and verbal communication skills.
· Ability to work independently and as part of a team.
· Customer service orientation and interpersonal skills.
· Familiarity with travel booking software and tools is an advantage.
